HR Crowd Launches CrowdComply to Help Close Critical Workforce Compliance Gaps

HR Crowd has launched CrowdComply, a new workforce compliance and readiness solution designed to help organisations know whether employees, contractors and contingent workers meet the requirements of their roles before work is assigned.

Now available on SAP Store, CrowdComply responds to a challenge HR Crowd consultants have repeatedly encountered in complex workforce environments: information needed to establish whether someone is qualified and approved for work can be spread across HR and learning systems, rostering platforms, spreadsheets and different parts of the business, with the same information often maintained in different places, creating duplicate and potentially inconsistent records.

The issue is particularly relevant for distributed, compliance-intensive workforces in sectors such as utilities, mining and care, where people work across multiple sites or business units and may require current licences, certifications, competencies or role-specific authorisations. Whether that is authorisation to work around high-voltage infrastructure, certification to work at height or clearance to work with children and other vulnerable people, an expired or missing requirement can have consequences well beyond compliance.

PwC's 2025 Global Compliance Survey found that Australia lags in compliance capability. The survey points to the wider data challenge, with nearly 70% of Australian respondents saying data reliability and quality made compliance more difficult and the same identifying complex, disaggregated organisational data as an obstacle.

Workforce compliance is a business-wide issue

The consequences of fragmented workforce information extend beyond HR. Managers, schedulers and operational systems rely on accurate, up-to-date status to assign work, manage site access and support safety-critical operations. Knowing people hold the required qualifications, training and authorisations before deployment helps organisations reduce safety and compliance risk, respond quickly to changing requirements and keep work moving.

Changing regulation is sharpening the need for accurate workforce information. Australia’s strengthened Aged Care Quality Standards, which took effect with the new Aged Care Act on 1 November 2025, require relevant providers to ensure workers have appropriate qualifications, skills and experience, maintain relevant workforce records and demonstrate conformance during audit.

Starting with the role, not the compliance record

Built on SAP Business Technology Platform (SAP BTP) and integrated with SAP SuccessFactors, CrowdComply uses SAPSuccessFactors Talent Intelligence Hub to connect each role with the licences, certifications, skills, learning and authorisations required to perform it. It connects those requirements with evidence they have been met, providing a real-time view of who is ready and approved for work, where gaps remain and when requirements are approaching expiry.

Malcolm Soans, Director of Technology & Innovation at HRCrowd, said CrowdComply grew out of patterns the team was seeing while working with enterprise customers.

From compliance visibility to business confidence

Employees can upload and maintain relevant evidence through self-service, while automated workflows, expiry monitoring and alerts help ensure the right people know when action is required. Dashboards provide visibility of status and gaps, with controls over sensitive employee documentation.

That status can also support scheduling and rostering, site access, workforce planning, time capture, and safety processes, reducing reliance on separately maintained records.
